Please see below for frequently asked questions during our recent migration demos.
Q: Are QR codes tracked for clicks?
A: Not at the moment.
Q: Is there a function on the new platform to take attendance per class or product group in the platform?
A: Not at the moment.
Q: Do you envisage that course details exist here and on school website? This is up to you.
A: You can use the platform to host all of your course details if you wish to avoid duplication.
Q: Will the various roles still be in place, general admins, class admins? Will class admins be able to use communications too?
A: Class admin will be developed later in the year.
Q: Is it possible for the system to sync with the school's local database?
A: The platform operates independently to maintain data integrity and ease of use. While it doesn’t directly sync with local databases, data can be exported and managed externally if needed. Student data can also be imported into the system.
Q: Is there a template for uploading course data?
A: While there’s no bulk upload template, the interface is designed to make adding or editing courses quick and straightforward.
Q: Is it possible for the fundraising platform be published to the general public e.g. on the schools website/Facebook page, so all the public can donate to the fundraising activity?
A: Yes there are handy share links that you can share campaigns directly to social media, websites, vie email and SMS to mention a few.
Q: Also what about the new incoming 1st years and rollover to the next school year?
A: Feel free to upload your incoming students when you want, all classes and data will be automatically migrated to the new platform. We would encourage you to upload email addresses with your 1st year data as this will make the account activation on the new platform easier.
Q: When is this going live/when will we be migrated?
A: The platform is currently live, we will be migrating organisations on a phased basis. Organisation will be migrated based on the functionality they use. We will reach out to you all individually with a specific migration date.
Q: Can you have two separate bank accounts set up for parents to pay into?
A: Yes this is possible on the new platform, we can discuss the merchant services requirements with you when required.
Q: Can you set up instalments plans?
A:Yes instalment plans are available on the new platform and they will work the same way as they currently do.
Q: I have instalments plans set up how is that going to work when moving to new system?
A:The instalment plans will continue to run on the existing platform and the payments will show on your reports on the new platform.
Q: What’s the difference between epp and payzone?
A:The EPP platform was acquired by Payzone and we have now rewritten and rebranded it as Payzone.
Q: Is there a cost to texting payment reminders for unpaid fees?
A: At the moment payment request reminders are sent via email and there is no charge for this.
Q: How will the parents/students be moved over, do they have to register again ?
A:All data will be migrated over for anyone who has made payments from 01/01/2023. The first time the parent/customer uses the new platform they will need to input their email address that they use for the current platform. Then they will receive a verification email that will provide them with the ability to create their new password.
Q: Will the process for refunds still be the same?
A:Refunds will behave the same way that they currently do, you can process a full refund or a partial refund.
Q: Is the charge on transactions changed?
A:You will remain on your current agreed pricing and contract.
Q: Is there a charge for email and SMS facility please?
A SMS messages cost 0.06c per 140 characters, this is excluding 23% vat and this will be invoiced on a monthly basis. You receive 1000 free emails per month and then every email after that is charged at 0.03c, ex 23% vat.
Q: Do you have a user guide or a product map showing the location of functionality on 'EPP' and where it is now mapped to 'Payzone' so we can see any functionality that has changed / is no longer available please?
A:There is a detailed FAQ guide available and we have endeavoured to mirror the functionality as much as possible.
Q: Will we have access to any payments mad before 2023?
A:We will migrate all payments from 01/01/2023. We would advise you export any data you require ahead of migration. View further details on how to do this here.
Q: Can we add fees/products due throughout the year?
A:Yes you can add as many products as you need whenever you need them.
Q: Can the system recognise dupe accounts if someone chooses to do 'continue as guest' and they previously have created an account?
A: Guest is an optional feature that is disabled as default. If used, Guest doesn’t create any duplicates.
Q: Will you be sending a user guide for the new platform? For admins & customers.
A: There is a detailed FAQ section for admins and within this section we have a couple of sample letters that you can circulate to your customers.
Q: Is there anything that has been taken out from the EPP that won't appear on the new platform?
A:We are continuing to develop the new platform and we will endeavour to only migrate organisations when the functionality they require exists in the new platform.
Q: Is it possible to hide the number remaining from customer?
A:Based on the feedback we have received we will implement a setting to provide this as an option on product creation.
Q: Who sets the time limit to pay for a limited product? Is that something we set up?
A:The time limit is a system wide limit across all organisations. This is set at 10 minutes with increments added as people interact.
Q: We have amended our charges so that the bank charges will be covered by school. I am assuming the facility is still available not to charge parents?
A:Any admin charges you have currently defined on EPP will carry over to the new platform.
Q: Can you confirm the facility to limit numbers by product will be in place for the new system?
A:Yes, you can limit products on the new system.
Q:Will we still have class roll over or will it all be product based?
A:Yes we will provide a facility to upload your class information and create new classes. However this is only required if you need to report on a class by class basis.
